Project Coordinator

Vaco is seeking a Project Coordinator who is committed to a long-term opportunity and open to the potential for full-time conversion. You are an ideal fit if you have demonstrated experience supporting technology projects and providing executive-level assistance for one of our top clients in Tempe. As a Project Coordinator, you must be detail-oriented, highly organized, and able to thrive in a fast-paced environment while managing multiple priorities and strict deadlines. This is a contract position with a hybrid schedule, in office 4 days a week paying $24 to $25 per hour.
Key Responsibilities - Assist in the planning, tracking, and execution of projects across departments.
- Maintain project schedules, coordinate meetings, and track milestones and deliverables.
- Support cross-functional communication and ensure timely updates to stakeholders.
- Prepare project documentation, presentations, and status reports.
- Assist in managing budgets, vendor coordination, and procurement needs for projects.
- Provide executive support including calendar management, travel coordination, and meeting scheduling.
- Manage correspondence, draft communications, and ensure timely follow-up on action items.
- Organize and coordinate executive team meetings, including agenda creation, minutes, and logistics.
- Assist with presentation development, internal communications, and special projects.
- Handle confidential information with discretion and professionalism.
Qualifications - 3+ years of experience in project coordination, executive support, or a similar administrative role.
- Strong organizational and time management skills with attention to detail.
- Excellent written and verbal communication skills.
- Proficiency in Microsoft Office Suite, Google Workspace, and project management tools such as Smartsheet, Asana, or Monday.com.
- Ability to work independently and collaboratively in a fast-paced environment.
- Strong judgment and discretion in handling confidential information.
Determining compensation for this role (and others) at Vaco/Highspring depends upon a wide array of factors including but not limited to the individual's skill sets, experience and training, licensure and certifications, office location and other geographic considerations, as well as other business and organizational needs. With that said, as required by local law in geographies that require salary range disclosure, Vaco/Highspring notes the salary range for the role is noted in this job posting. The individual may also be eligible for discretionary bonuses, and can participate in medical, dental, and vision benefits as well as the company's 401(k) retirement plan.
