Key Responsibilities:

  • Coordinate and schedule service crews and subcontractors across multiple projects.
  • Serve as the communication link between project managers, clients, and field technicians.
  • Track project timelines, milestones, and deliverables using internal systems.
  • Monitor job progress and assist with daily/weekly work schedules.
  • Prepare and distribute work orders, job packets, and change orders.
  • Order, track, and confirm delivery of plumbing materials and equipment.
  • Assist with permit applications and inspection scheduling.
  • Maintain accurate project documentation, including contracts, purchase orders, and job costing.
  • Resolve scheduling conflicts and field team questions in real time.
  • Provide administrative support to project managers and estimators as needed.

Qualifications:

  • High school diploma or equivalent required
  • 2+ years of experience in construction, plumbing, HVAC, or field service coordination.
  • Strong understanding of construction job flow and field-team logistics.
  • Proficiency in Microsoft Office (Outlook, Excel, Word); experience with scheduling or service software (e.g., ServiceTitan, Buildertrend, QuickBooks, or similar) a plus.
  • Excellent written and verbal communication skills.
  • Strong attention to detail and organizational skills.
  • Ability to multitask and work in a fast-paced environment.
  • Comfortable navigating construction timelines, crews, and customer expectations.
