Job Description

Role: Scout Coffee Cafe Manager/Full Time 

Reports to: Retail Operations Director/Owner(s) 

Supervises: All café staff 

Location: 390 Morro Bay Blvd. Morro Bay, CA 93442

Cafe managers are responsible for each café's overall success.

Success is measured by: metrics/ audits/ customer and staff retention/ overall good vibes

For 12 years we have been building this brand and our current cafe managers don’t need to “invent the wheel” but they are the ones driving the ship, making sure the focus on Product/ Service/ Atmosphere is upheld. 

We expect Scout managers to run a financially responsible store that manages a “tight-ship” by managing costs of goods and labor. We also depend on managers to proactively drive sales by creating a work flow for high-volume, keeping a well stocked store and maximizing sales opportunities. 

We believe in creating warm, authentic connections with our guests. We expect Scout managers to embody authentic hospitality and to be the top role model for all cafe staff. We think great service, and warm hospitality starts with a happy staff and we depend on our managers to create and maintain a positive work environment for all cafe staff. 

Requirements

  • Must have a flexible schedule and can work weekends, holidays, and overtime as needed.
  • Flexibility to cover shifts and/or handle emergencies outside of regular hours (management is a lifestyle)
  • Must prioritize availability and leadership during retail peak seasons (Spring break, Grad weekend, Holidays, etc. ) to ensure smooth operations and a staff that feels inspired and supported! 
  • Must have 1-2 years of experience in a managerial position, preferably in food service or hospitality. 
  • Experience in inventory control, vendor management and ordering
  • Passion for coffee, hospitality, and delivering exceptional guest experiences 
  • Strong attention to detail and commitment to cleanliness and quality
  • Proactive, reliable, and solutions-oriented 
  • Proficiency with POS systems , basic budgeting, and scheduling software 
  • Must have reliable transportation

Specific responsibilities/ duties for Staff Development: 

  • Responsible for recruiting, hiring, orientation, and training. 
  • Projecting staffing needs with ample timing for quality hiring & training 
  • Schedule staff using software and keeps store needs and individual staff requests balanced (keeping schedules within labor budget). Ensure that staff feel supported by their schedules, never scheduling them outside of their availability, setting the team up for success with consistent & strong schedules. Gives notice to staff if adjustments need to be made and communicated thoroughly. 
  • Corrects and approves timecards on the 1st and 16th off every month by 9 am 
  • Provide feedback for staff on performance, areas of improvement, and offer more training when needed. 
  • Daily “coaching” of staff, placing people in positions that they are best suited for and offering opportunities for them to be challenged and work on improving their skill set. The overall feel of “coaching” is that managers are on the same team and the success of the team is the success of the manager, and vice versa. 
  • Conduct quarterly staff evaluations 
  • Weekly Announcements - communicates with staff regarding service standards, menu updates, merchandise updates, any new protocols, and general coffee education. This may be done via emails, white boards, or video.
  • Leads Quarterly staff meetings 
  • Meet weekly with Retail Operations Director 
  • Meet weekly with store shift leads or assistant manager 

Specific responsibilities/ duties regarding Product: 

  • Place Orders to: 
  • Roastery, US Foods, Dairy Supplier
  • Bakery, manage daily pars and daily bakery waste
  • Other cafe items as needed (glassware, café supplies, etc.) 
  • Follow systems to verify that all orders are checked in properly and put away properly
  • Follows and ensures all staff are following regulations as outlined by health department 
  • Quality control of all products that go out (brewed coffee, espresso specs, all drinks made to standard including visuals and keeps tabs on all pastry presentation and food).

Specific responsibilities/ duties regarding Hospitality/Service: 

  • Ensure drinks are being served in a timely manner
  • Ensure all staff are using proper steps of service in all transactions including greeting upon entry.
  • Ensure staff are working with a sense of urgency and bringing energy to their tasks at hand 
  • Ensure staff are positive and happy in all communication through vocabulary used, tonality, and body language
  • Proactively looks for opportunities to connect with customers in a positive and memorable way through small touchpoints. 
  • Leads by example, and works to solve any issues that arise when a customer is dissatisfied 

Specific responsibilities and duties regarding Atmosphere: 

  • Ensure that all turn-over and café side-work are being done daily/ weekly/ monthly (create, update these schedules as needed) 
  • Equipment- all equipment should be in working order. Follow & maintain all preventative maintenance protocols. Call for repairs when needed. 
  • Plants- ensure all plants (inside and outside) are taken care of. Replace when needed.
  • Ensure the store stays clean and lines up with requirements of the Scout Audit, and health department
  • Follow the deep cleaning schedule (or service), ensure that it is done thoroughly
  • Manage cafe music and ensure it’s upbeat, family friendly and matches mood and energy of cafe

Breakdown of time: 

  • 75% on floor working with staff, coaching, leading, training! Hospitality being the main focus! (30 hours)
  • 10% maintaining cleanliness of the store/back room organization, merchandising (4 hours a week)
  • 5 % scheduling (2 hours a week) 
  • 5% ordering/checking-in/organizing/putting away (2 hours) 
  • 5% meetings/interviews (2 hours a week)
