Summary
Supporting Finance, supporting Supply Chain, entry level customer service and operational scheduling.
Responsibilities .
Customer Service & Operational scheduling
· Enter new orders and pull new orders from customer portals into QuickBooks and coordinate order processing for shipment, ensuring all required documentation is accurately prepared and issued. This includes hazmat paperwork, labeling, pallet markers, Certificates of Analysis (COAs), packing lists, and Bills of Lading (BOLs). Additional export documentation must be completed and submitted for international shipments
· Oversee and facilitate communication with the warehouse to ensure timely and accurate handling of all inbound and outbound shipments.
· Perform and confirm monthly inventory reconciliation to ensure accurate stock levels.
· Responsible for all outgoing shipments.
Supply chain (support/back up)
· Arrange all shipments: For domestic shipments, either by contacting carriers or entering the shipment details into the customers’ carrier portal. For export, contact carriers with the necessary documents and details (hazmat etc.) to arrange for containers.
· Responsible for all incoming shipments: finished product, raw materials, packaging, supplies etc.
Finance (support/back up)
· After an order has shipped, review all paperwork for accuracy and submit it to accounting for accuracy.

Qualifications
· Proficiency in QuickBooks or similar ERP
· Advanced Excel skills (pivot tables, VLOOKUP, data analysis)
· Familiarity with financial software
· Comfortable working with inventory systems and databases
· Strong attention to detail and accuracy in data entry and reporting.
· Ability to reconcile discrepancies in purchase orders, invoices, and inventory reports.
· Excellent communication skills for coordinating with vendors, finance teams, and logistics providers.
· Able to support purchase order processing, invoice matching, and shipment tracking.
Education & Experience
· 2 year or 4 year degree in related field.
· Some experience in finance, customer service, and/or supply chain management
